Photography Policy
WIMDI has photography at most of its in-person events. When you attend a WIMDI event with photography, you consent to us using those images as laid out in our Photography Release.
Below are our guidelines and policies for photography at WIMDI:
Use of Photos
The photos we take are used for a variety of marketing purposes including (but not limited to):
- Promoting future events
- Social media posts
- Images on our website
- Print and online resources for our community
The photos we take are used by the following people:
- WIMDI
- Our Founder, Holly Burton
- Our Featured Speakers
- Our Sponsors
- Our Photographer, Angela McConnell
- Other groups we co-host events with
Our speakers work hard and one of the benefits we like to give them is some beautiful photos of them in action that they can use for their own marketing to show the world what they can do.
Events with Photos & Avoiding Photography
Most, but not all, of our events feature photography. We understand that not all of our members wish to have their photo taken at our events, and we know that, for some members of our community, photography can pose a safety risk. We take these concerns seriously and work to include all of our members wherever possible and make them as comfortable as we possibly can, while balancing our desire to document our events.
Here is our approach:
- We offer certain events with no photography whatsoever. Our Café Nights and some of our smaller networking events are meant for small-group discussion and bonding and so we don't take photos.
- Most of our events with photography can accommodate no-photo requests. Our Speaker Series events are a great example of this.
- Our online event descriptions clearly describe whether or not photography will be taking place at the event. We want you to know ahead of time what the situation will be so you can make an informed decision.
How to Request No Photography
For some events, when noted in our online event descriptions, it may be possible for you to request that you not appear in photos at an event that otherwise involves photography. Here is the process:
- Speak to our photographer when you arrive. Introduce yourself and let them know that you'd like to not appear in their photos for the night. Don't worry about awkward questions -- you'll never be asked to explain your request, and we'll make sure to be discreet.
- Co-design an approach with the photographer that works for you both. You and the photographer will work together to figure out a way to make sure you're not photographed, but we can still take photos of the event. We'll try to design simple accommodations (eg: sitting a few rows back rather than right up front) so that you can enjoy the event and our photographer doesn't need to be an acrobat.
Please note that we do occasionally host events where, because of the event type or set-up, accommodating these no-photography requests is impossible (eg: very large mix-and-mingle networking events). We don't do these events often, but if/when this is the case, it will be clearly explained in the online event description.
If Your Photography Preferences Change
If you've previously consented to having your photo taken at a WIMDI event, and your needs change, let us know. We want all of our members to feel comfortable and we'll happily take down a photo if you're no longer comfortable having your image online.
To get your photo removed, please follow this process:
- Contact WIMDI's Photographer. Get in touch with our photographer via email on our contact page.
- Be specific about your needs. Let us know which image(s) you'd like removed.
- We'll get on it! Once we have all the details we need, we'll make sure we take down the photo and stop using it going forward.
Please note that we'll do our best to act on these requests quickly, but in some cases it may take a little while to replace it (depending on its use).
Photos of Children Who Attend Our Events
Our policy at WIMDI is to not take photos of any children attending our events.
